Privacy Policy

1. Who we are

OpsBots.ai ("OpsBots", "we", "us", or "our") operates the OpsBots platform, which provides AI execution systems for businesses. Our registered address is available on request at hello@opsbots.com.

2. What data we collect

We collect the following categories of data:

• Account data — your email address, name, and hashed password when you create an account.
• Business data — your business name, slug, and chatbot configuration (system prompt, knowledge base, colors, welcome message).
• Conversation data — messages sent to and from your deployed AI Units by your end users. This data is used to generate responses and is stored to enable your Execution History.
• Pain Intelligence data — complaint text you voluntarily submit or ingest through the Pain Intelligence pipeline. This data is processed by AI to generate cluster and opportunity outputs.
• Usage data — IP address, browser type, pages visited, and feature usage, collected via standard server logs.
• Billing data — processed entirely by Stripe. We do not store card numbers or full payment details.

3. How we use your data

• To operate and deliver the OpsBots platform and AI Unit services.
• To process conversations and return AI-generated responses through the Doryoku Engine™.
• To generate Pain Intelligence clusters, scores, and opportunity analysis.
• To send transactional emails — account confirmation, billing receipts, and service notices.
• To improve platform performance, diagnose bugs, and develop new features.
• To comply with legal obligations.

We do not sell your data. We do not use your business data or conversation data to train general-purpose AI models.

4. AI processing

The OpsBots platform uses Google Gemini (via Google AI APIs) to power the Doryoku Engine™. Messages processed by your AI Units and data submitted through Pain Intelligence are sent to Google's APIs for inference. We operate under Google's data processing terms and do not permit Google to use your data for model training under our API agreement.

5. Data sharing

We share data only with the following categories of third parties, and only as necessary:

• Google AI — to power Doryoku Engine™ AI inference.
• Stripe — to process subscription payments securely.
• Infrastructure providers — for hosting, databases, and CDN delivery.

We do not share your data with advertisers, data brokers, or analytics platforms that sell data.

6. Data retention

Account and business data is retained for the lifetime of your account and deleted within 30 days of account closure on request. Conversation data is retained for 12 months and then automatically purged. Pain Intelligence data (complaints, clusters, opportunities) is retained until you delete it through the dashboard or close your account.

7. Your rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Request deletion of your data (right to erasure).
• Object to or restrict certain processing.
• Receive your data in a portable format.

8. Cookies

We use only essential cookies for authentication and session management. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

9. Security

We use industry-standard security practices including encrypted data in transit (TLS), hashed passwords, and access controls. No method of transmission over the internet is 100% secure. If you believe you have found a security vulnerability, please report it to security@opsbots.com.

10. Children

OpsBots is a B2B platform intended for businesses and adults aged 18 or older. We do not knowingly collect data from anyone under 18.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or a banner in the dashboard at least 14 days before they take effect. Your continued use of the platform constitutes acceptance of the updated policy.
